Maintenance QR Code
Kevin Graf, Woodside Golf Course, AB kevin@woodsidegc.com
This season, we addressed the ongoing issue of equipment breakdowns, which affected a range of vehicles, including power carts, beverage carts and maintenance vehicles. The primary challenge was the lack of efficient communication between staff members and the mechanic.
To address this problem, we created a QR code system. Staff members could access the QR code in various locations, such as the maintenance building, proshop computers, backshop, restaurant and kitchen. Scanning the QR code opened a Google document with required fields for staff to fill out, including:
• Name
• Date
• Equipment type (Golf Cart, Range Picker, Bev Cart,
Maintenance Vehicle)
• Cart number or ID
• A list of selectable possible issues with the vehicle
• A notes section for extra information for the mechanic
After submitting the form, an email is sent to the mechanic and all managers, keeping everyone informed about the equipment issue. Although the information might not always be precise, it offers the mechanic a starting point to diagnose and fix the problem effectively.
The user-friendly system allowed any staff member to document and submit issues. Given its success in monitoring equipment issues, we expanded the system to cover other items like doors, furniture, coffee machines, fridges, kitchen equipment, etc.
This idea significantly enhanced equipment repair times and improved communication between managers, as they were notified immediately about issues as they occurred. The only expense with implementing this idea was the cost of printing stickers with the QR code. This idea was truly a win for our facility!
