Over the last several decades, I've
witnessed significant changes in
records management technology.
Organizations went from paper-based
record-keeping to digital (DOS-based)
systems. As databases have evolved,
DOS-based systems have given
way to Windows-based software
and Cloud computing. In the last ten
years alone, a tremendous focus has
been placed on Information Sharing,
Mobile Technology, and Community
Policing and Transparency.
Records management software is a
fundamental tool for law enforcement
agencies, contributing to operational
efficiency, data-driven decision-
making, and overall effectiveness in
maintaining public safety. With the
rapid changes in technology, here
are some key records management
features and considerations to keep
in mind:

Management Software
Centralized Data Storage:
A robust RMS should provide a
centralized repository for all types of
law enforcement data, ensuring easy
access and retrieval of information.
User-Friendly Interface:
Intuitive interfaces enhance user
adoption, making it easier for officers
and staff to navigate the system
effectively.
Mobile Accessibility:
In an era of increased mobility, a
good RMS should offer mobile
compatibility, allowing officers to
input and access data in real-time,
even in the field.
NIBRS Integration:
Integration with the National Incident-
Based Reporting System (NIBRS) is
crucial for standardizing crime data
collection and reporting, providing
agencies with a comprehensive and
accurate picture of criminal activity.
Use of Force Reporting:
The ability to comprehensively
document use-of-force incidents
is essential for transparency and
accountability. A robust RMS should
include features for capturing detailed
information on these incidents.
