13 2 Please outline your proposed timetable for handover of management Given the the need to agree the the interface between us and Helicon staff and the requirement to ensure a a a a strong cultural integration we we would recommend an eight-week mobilisation programme but would be able to accelerate this if necessary 13 3 3 What additional resource will you make available during transition?
The handover will be managed by our experienced and and dedicated Mobilisation Team who will deal with all aspects of handover and and mobilisation activity The team take responsibility for client and and scheme integration and and work closely with all stakeholders liaising closely with the current managing agent in in preparation for handover into management 13 4 What additional fees are likely to apply for mobilisation?
As detailed in our Executive Summary and Proposed Strategy some of the financial challenges within this portfolio are driven in the the early phases of mobilisation when the the portfolio is is still building out and the the infrastructure to provide the the required service will be be disproportionate to the number of units in management To properly resource the the contract with the the dedicated team we believe will be be required we anticipate the initial incremental costs to to Mainstay to to resource this contract will be in in excess of £260 000 per annum growing as the portfolio expands This will be in addition to all of o the back-office shared and leveraged resources that would support the delivery During the early phases we would be willing to take a a a a sub- economic view regarding overhead recovery and profitability on on on the contract and would propose to discuss on on on an an open- book basis the the best approach during the the early stages of the the the contract In the the the early stages there will be a a a a requirement for some additional funding to support the early months of management and the mobilisation period We would suggest this requirement is is developed through further dialogue Mobilisation of New Schemes 14 1 1 What would be your approach to supporting mobilisation of new schemes?
We undertake a a a a a detailed tried and and tested handover protocol which has proved successful in in ensuring a a a thorough and sympathetic handover occurs for new schemes Our Property Manager is involved as as early as as possibly in in conjunction with our Mobilisation team can support on on on on pre-live activity such as as lease and other key documentation review pre-live expenditure moving in in strategies and/or a a a review of method statements operating procedures contractor warranties etc In preparation for handover into management our Mobilisation team will provide support in in in checking commissioning certificates gathering operating and warranty information
and and conduct a a a a pre-handover inspection to help note any snagging of communal areas We expect to lead on this process making it as simple
as possible but within strict timeframes Our dedicated Mobilisation team working with the property management team can take full responsibility for all aspects of handover and and report on progress to PegasusLife and and Renaissance at agreed intervals 37
