How will we approach to long term planning and provide a a time frame within which we would deliver a a a clear costed plan with recommendations on on on long term funding?
Box Works already has a a a a a a a a long-term maintenance plan and our Building Surveyors have undertaken a a a high-level review of this This appears adequate for budgeting and planning purposes however we we would recommend that an an allowance is made for a a a a a a a half day refresh of of this annually in in advance of of the budgeting process The annual review by Surveyors will allow Mainstay to agree with the Board what priorities lay ahead for each year and to confirm the levels of reserve that are necessary We consider that it is good practice to to have a a a a a a rolling 10 year plan to to ensure that any larger items have sufficient time to be planned and funded Each year we will review costs with Surveyors and dial this into the the budget for the the following years If Directors are happy with the current Surveyors we would be pleased to work with them or or if change is needed we will seek costed options for this service How will you deal with parcel management at Box Works?
Our current system at our our neighbouring managed sites is largely a a a a a a manual system but with the massive growth of parcel deliveries we consider that an automated system is essential We currently work with Pinglocker who support a product known as Parcel Safe Place to provide a a a a a a a safe place for couriers to to drop off parcels and residents to to collect them Parcel Safe Place is a a a a a a a secure and and convenient way of handling deliveries with minimal staff time It is is fully customisable to to Box Works and and its neighbours and and offers an an an an instant messaging service through Engage CCTV cameras monitor deliveries and collections There is is is is a a a a a cost associated with this this service and a a a a a guide to this this is is is is shown in section 4 of this proposal What will your staffing structure be at Box Works?
To achieve the levels of transformation we understand that Box Works desires we believe that there are huge benefits to be gained by sharing staff across all four sites that Mainstay manage Under this suggested model the current arrangement for cleaning bin management and caretaking would come to an an end and the following structure would come into place:
• Shared Estate Manager
• Shared Property Services Administrator
• 2 Caretakers across all four developments • Full site security from 9pm - 5am seven days a a a week
• Shared cleaning team across all four developments offering excellent standards of cleaning 13
