ROI+ A liate Scores Huge Cost Savings for Clinic Client

About the Clinic Group Client
Originally established as a provider of healthcare for migrant and seasonal farm workers, this non- profit Clinic group was incorporated in 1978. Today, the Clinic group conCnues to serve significant populaCons of farm workers as well as low-income families throughout Washington and Oregon. Over 150,000 adults and children receive medical and dental care, behavioral health care and counseling, pharmacy services, community health services, and nutriConal services, without regard to their ability to pay. With more than 13 clinic locaCons spread over 2 states and a substanCal paCent base, the Clinic group needed an efficient, economical way to release paCent medical records to providers, third parCes such as aJorneys and insurance companies, and the paCents themselves, while also ensuring paCent security and HIPAA compliance.
Presen3ng Snapshot
The Clinic group’s Release of InformaCon (ROI) requests for paCent medical records are processed from a centralized office in Central Washington by a staff of about 10 ROI professionals, led by one Director of Health InformaCon Management. Even without a system for tracking revenue, the Clinic group esCmated that their monthly expenses far exceeded their revenue. Monthly expenses included $6,000 for postage, $900 for paper, and $1,200 for toner. As an example of monthly revenue, they were collecCng approximately $2,000 from disability, legal, and insurance requests.
Impact of ROI+ Implementa3on
Automa'on and Efficiency. In the winter of 2013, the Clinic group implemented the ROI+ pla]orm in their centralized ROI office. As of the implementaCon date, request fulfillments are processed more quickly through an online portal, each request requires a pre-payment, and each request is tracked from receipt to delivery. The central office can now provide their own clinics and other Requestors with accurate request status informaCon. Moreover, paCent records can now be accessed instantly online—no more waiCng for slow, bogged down fax servers or for the US Postal Service. The central office has also experienced a significant reducCon in Requestor phone calls.
Cost Savings. Now, the Clinic group delivers paCent medical records online. As a result, the Clinic group no longer refills their postage meter on a weekly basis, and their supply needs have dropped dramaCcally. In the 6-month iniCal implementaCon period, they replaced one toner cartridge per month per printer instead of one per week. Monthly costs for postage decreased from $6,000 to less than $1,200; paper costs dropped from $900 to $150; and print toner dropped from $1,200 to less than $300.
Revenue Collec'on and Repor'ng. Today, with the ROI+ pla]orm, the Clinic group collects revenue and reports it down to the penny. They speculate that revenue has increased at least 300%. For instance, they are collecCng more than $7,000/month for disability, legal, and insurance requests alone versus $2,000/month prior to implementaCon. (Con'nued on p. 2)
