SHA MEETING MINUTES
June 9, 2020 Virtual Meeting via Zoom
Present: Henry Grace, President; Eileen Stradley, Secretary; Mike Giroir, Treasurer; Tom Hirschey, Security; Darryl Tate, Board Member; J C Collins, Board Member; Ken Buturla, Board Member; and Sandy Smith, Board Member.
Absent: Kevin McNicoll, Don Regner, Carrie Driver. Quorum present.
President - Meeting called to order at 7:00 p.m. by Henry Grace. Pledged allegiance to the Flag. Introduction of Guest: Larry Horacek, SECPID Chairman joined our meeting as a guest.
Secretary’s Report –Motion passed unanimously to accept the minutes of the last monthly business meeting as published on the website.
Treasurer’s Report – Mike reported that receipts in May were $2,194.15, which included $1,000 from SECPID for the flags. Expenses in May were $1,233.10, which included $440 for Lawn Care, $149 for annual Zoom license fee, and $629.10 for annual renewal of our General Liability Insurance Policy on the front lots.
Membership Report –Mike reported that 32 residents paid their dues in May for a total of 612 members as of month-end. He noted that
5 additional residents paid their dues as of the date of this meeting
for a total YTD membership total of 617, which represents 30% of the homes in Shenandoah. The mid-year dues letters will be going out next week. Two different letters will go out. One is a reminder to those who haven’t paid yet, and the other is thanking those who have paid. The Shenandoah Homeowners Association dues remain at $30 per year. Please send in your dues, or you can pay them via PayPal on the website. (shawebwatch.com).
Security Report – Tom reported that we again had 182 patrol hours
in May. He noted that after Phase II of the pandemic re-opening, more people are out driving, and the deputies have written a few more tickets. Tom also reported that we could have both of the new cameras currently being installed up and running by this weekend. Tom reported that the camera we have at Shenandoah Ave. at Jones Creek helped solve a burglary at Southern Oaks Athletic Club by identifying a suspect vehicle. The stats will be published in the Newswatch. The next SECPID meeting will be held on July 21, 2020 at 6:30 p.m. This is likely to also be a virtual meeting via Zoom. If so, Ed will send a meeting invite to all SECPID and SHA members.
Architecture – Ken reported that he met with a homeowner on Culps Bluff to discuss their intention to install a privacy fence along the
back of their property. Both sides of the yard are already fenced. Ken reviewed with him the need for a permit and to make sure the fence will be on their property. Residents on Chadsford inquired about installing a pool and a patio cover. Ken informed them that the HOA doesn’t take exception or make recommendations for pool installations. Homeowners were instructed that they would obviously have to
to the website recently. He will put a nice presentation on the website to publicize the upcoming Christmas decoration contest. He will send email blasts, as well. The deadline for articles for the December Newswatch will be November 16.
Entrance Sign Committee Report –Sandy and Don reported that the City Parish has approved our permit for the sign with the variance requested of 20 feet back from the property line. However, because the sign is designed to be 30 feet long, it will encroach on the existing AT&T servitude by 18 inches. AT&T will allow us to build on it, but wants us to sign a Hold Harmless clause. Don had the Hold Harmless reviewed and revised by our attorney. He will present it to AT&T to see if they will accept it. He will also check to see if our liability insurance coverage would be affected by the clause.
New Business
2020 Membership Program –Mike proposed some ideas to increase membership again in 2020. He suggested that we ensure that real estate agents in our area have our brochure to give to people who are looking at homes in the subdivision, and also to leave them with closing attorney firms in our area to give to people who buy homes in the subdivision. He also suggested we create a welcome packet for new residents. The idea to create a welcome committee was also discussed. Mike proposed that we do the same membership mailout that we did last year, including the drawings for prizes. Eileen made a motion, and Tom seconded, that we approve the membership letter and have Mike send it out before December 1. Motion unanimously approved. Ed will put a notice in the December issue of the Newswatch.
