BOOKING A TRIP / PREPARATION PROCEDURES
Check with the relevant airlines for availability of seats, and establish provisional dates for the planned trip. Contact Outbreak Edulink without delay, and provide us with the provisional dates and numbers for the trip. Fill out an official Booking Form, which will be provided by Outbreak Edulink after you made first contact. Please note that a trip is only officially booked once Outbreak Edulink receives the completed booking form. The preparation of any booked trip will only proceed once a Subscription Deposit has been paid to, and has been received by, Outbreak Edulink. This initial deposit usually constitutes 5% of the total cost of the trip.
In due time, following the deposit payment, Outbreak Edulink will provide the prospective customer with the necessary Documentation needed in order to prepare the trip. This includes a Contract of Agreement, pre- dated Invoices for the various payments, and Student Questionnaires to be completed by the trip participants.
PAYMENT PROTOCOL FOR ALL TRIPS
The first payment is the 5% Commitment Deposit, which is payable at latest 6 months before trip departure. A further 20% Intermediate Payment for the trip is due 3 months before trip departure.
The final Consolidation Payment of the remaining 75% of the trip cost is due 6 weeks before trip departure.
THE IMPLICATION OF NUMBERS / COMPLIMENTARY STAYS
The Program Rates given on the table to the right, applies only for groups of 30 participating pupils minimum. All program rates need to be increased by a small margin of 5% for groups of 20 to 29 participating pupils. Groups of less than 20 participating pupils are also welcome, but will be subjected to a mandatory program rate increase of 15% minimum, depending on the number of individuals in the group. Smaller groups may occasionally be combined, when feasible, in order to retain the most beneficial program rates as a whole. Quoted rates are ALL INCLUSIVE (includes accommodation, transport, meals, outings / activities, tour guide, teachers and tuition expenses, and insurances) but it does NOT include the cost of the airfare to South Africa. Outbreak Edulink provides accompanying teachers / adults with one fully complimentary stay in South Africa. for every 15 pupils partaking in the trip. Any additional teachers / adults will be charged the same price as the pupils, but restricted to one additional teacher per every 15 pupils partaking. Any teachers / adults who doesn't qualify for either the complimentary stay, or the pupils rate, will be charged the touristic rate, which is substan- tially higher than the pupils rate. For example: If 5 teachers would accompany a group of 35 students, two teachers would be complimentary, another two will pay student rates, and the last one will pay touristic rates.
