Terms of appointment
O Explain the terms of the appointment, i.e. the length of the appointment. If the charity’s governing document does not have speci c terms of of ce, consider whether it is appropriate to suggest that the individual’s term of of ce will be reviewed after three years
O Explain what the time commitment will be, how many meetings will you have each year and when will these normally be held. Be clear about the fact that if, for example, the individual misses several consecutive meetings you may consider it appropriate to ask them to step down as a trustee
O Explain the process for ensuring that relevant items are included on any agenda for a trustee meeting
O Explain how the individual will be kept updated on the affairs of the institute
Trustee duties and liabilities
O Explain the duties and responsibilities of a charity trustee, perhaps by enclosing and referring to a copy of the Charity Commission’s publication, CC3 (The Essential Trustee, recommended reading can be found in Appendix D)
O Explain the extent to which it will be possible for the individual to claim expenses for out of pocket expenditure
O Con rm what insurance is in place for the bene t of trustees Conclusion

Make it clear that being a trustee is a daunting prospect for anyone, and that they should feel free to ask queries and to seek support and guidance at any time
