peers. The purpose of this no fault attendance policy is to establish a uniform and clear standard for monitoring attendance that takes into consideration the Company’s needs as well as emergencies and associate illnesses. Definitions
Absence Occurrence: An Absence Occurrence is an associate’s failure to report to or remain at work for at least half of his/her scheduled shift. Consecutive days of an associate’s absence for the same illness or reason will count as one Absence Occurrence (that is, an Absence Occurrence begins when an associate is not at work as scheduled for more than half of his/her scheduled shift and ends when the associate returns to work). Unless the associate is on an approved medical leave of absence or is taking approved intermittent Family and Medical Leave, a doctor’s note does not excuse the absence and the absence still constitutes an Absence
Occurrence. When an associate is tardy (as defined below) two (2) times within a thirty (30) day period, it will be considered one Absence Occurrence. The thirty (30) day period begins with the first instance of Tardiness. Scheduled Time Off: Time off from work approved in advance by the associate’s supervisor or department manager.
Unscheduled Time Off: Any time the associate is unable to report to work for any reason not scheduled in advance and approved in advance by the associate’s supervisor or department manager. Unscheduled Time Off is to be used only in cases of illness and emergencies.
Tardiness: Reporting to work anytime beyond the shift start time, without prior approval from the associate’s supervisor. Returning late from break periods or meal periods and leaving early with or without permission will also be treated as “Tardiness” under this policy. It shall be the responsibility of the associate to provide satisfactory verification of any extenuating circumstances, if requested by the supervisor.
No Call/No Show: An associate’s failure to show up for work or call to report his/her absence within 15 minutes after the start of the shift. It is the associate’s responsibility to provide the Executive Director with satisfactory documentation of any mitigating circumstances.
Job Abandonment: Associates who walk off the job, (leave work during the scheduled shift without authorization from the supervisor) or who fail to show up for work will be considered to have voluntarily quit their position. Rolling Twelve Month Period: Instances of Absence Occurrences are evaluated on a Rolling Twelve Month Period beginning with the associate’s first Absence Occurrence.
Progressive Discipline For Absence Occurrences
Associates who accrue multiple Absence Occurrences within a Rolling Twelve Month Period will be subject to the following disciplinary action, a copy of which will be placed in the associate’s personnel file:
Two (2)Absence Occurrences:Documented counseling
Three (3)Absence Occurrences: Written warning
Four (4)Absence Occurrences:Final written warning
Six (6) Absence Occurrences:Termination
Associates who accrue multiple No Call/No Shows within a Rolling Twelve Month Period will be subject to the following discipline:
First No Call/No Show:Final Warning
Second No Call/No ShowTermination
Two consecutive scheduled shifts of No Call/No ShowVoluntary Resignation
Notification Procedures for Unscheduled Absences:
Any time an associate has an unscheduled or unplanned Absence Occurrence, he/she must notify his/her supervisor of the reason for and expected length of the Absence Occurrence at least two (2) hours before the start of the day shift and three (3) hours before the start of the evening or night shift scheduled starting time, unless the associate’s department manager establishes a different notification procedure, in which case that notification procedure must be posted and followed. This procedure is required even when an associate is reporting an absence pursuant to the Family and Medical Leave Act or is on intermittent Family and Medical Leave. Exemptions
Time away from work for the following reasons will not be considered an Absence Occurrence under this
policy: full or partial days of work which have been approved as intermittent or reduced schedule leave under federal or state statutes, including the Family and Medical Leave Act (“FMLA”) or pursuant to a Workers’ Compensation leave of absence; time missed from work as a result of an approved accommodation under the Reasonable Accommodation policy; approved personal or military leaves of absence; jury duty; or approved bereavement leave.
