7. Modifications for existing job descriptions should be made based on updates in rules and regulations at Children’s Health or similarly oriented institutions. Modifications can be made based upon changes in the needs of the department. Follow steps 1 through 6 to complete modifications to job descriptions.
5.2 Confirmation of Agreement
All individuals employed through Children’s Health must provide a confirmation of agreement to their job description. When completing a confirmation of agreement for a job description, please follow the following steps:
1. All potential employees are screened and recruited according to the required hiring competencies upon applying for a job position at Children’s Health. The interview process should confirm the potential employee’s experience, education; specific knowledge, skills, and abilities; and hiring competencies. Also, the hiring process should confirm the potential employee’s ability to carry-out physical and non- physical tasks and function within the job environment.
2. Throughout the on-boarding process, clear expectations should be made of all employees. This process should begin by obtaining a confirmation of agreement of
the job description.
a. The direct supervisor and employee should meet to review the job description.
b. The employee should take time to be sure that they fully understand all aspects of the job description.
c. The direct supervisor should provide more detail and be willing to answer any questions asked by the employee.
d. The employee should complete: 1) [their] printed name, 2) signature, 3) date of signature, and 4) employee number.
e. The direct supervisor should complete: 1) [their] printed name, 2) signature, and 3) date of signature.
f. The direct supervisor should make two copies of the signed job description and file according to the following:
i. Provide one copy to the employee for their records
ii. Keep one copy in their employee’s file
iii. Provide the original copy to HR
3. As updates are necessary or job positions change, a new confirmation of agreement should be made. Follow steps 1 through 2 to as the employee’s position requires an updated or new confirmation of agreement is necessary.
5.3 Record on File
Throughout an employee’s time at a job position, the employee’s records should be maintained by the supervisor. The supervisor is expected to keep the following records current. It is recommended that updated versions of the records be kept in reverse chronological order or labelled with the date of the document:
