SOP Title: Onboarding (New Employees and New Assignments)
• Document all training and documentation for RA research personnel on the designated documents found in the Onboarding folder of the shared drive: T:\CCS_RESEARCH\2021 Onboarding; and initiate and bridge communication for onboarding and competency check-off for clinical staff with a clinic preceptor and research educator and Medical Staff Services Lisa.Martin@Childrens.com
• Assess need and execute Just in Time and Refresher Training RA research personnel.
• Identify Preceptors and onboard the preceptors
• Pair the new research personnel with a preceptor appropriate to their research
and clinical needs
• Developing training plans for new or transitioning studies or research portfolios; holding PACT meetings and PI introductory meetings
With the acquisition or transition of a research portfolio, both the team lead, and study team member are responsible to complete a PI Introductory Meeting (See SOP R002) and feasibility assessment (see Q017).
Study team members are responsible for working collaboratively and on some learning objectives independently and communicate the training, learning, working, work-life balance, and work environment needs.
For All Other Staff:
The RA director, administrative coordinator, and research educator, will collaborate to ensure the following responsibilities are achieved:
• Planning and executing the onboarding plan and competencies
• Schedule and assign computer-based training (CBT) modules and
competencies via Learning Institute & Lawson
• Document all training and documentation for personnel per institution’s standard guidance
4.1 Onboarding Plan Development
In preparation for the arrival of the new CRC or CRA, RA director, administrative coordinator, team leads, research educator, and preceptor(s) collaborate to plan the onboarding process. The agreements and contracts regarding the terms of the new team member’s employment are discussed in relation to their time dedicated to a particular study, service line, or PI. Additionally, the onboarding and training plan are supported by these terms and, in part, by ensuring that the appropriate accesses are granted (e.g., badge restricted areas, EPIC views, Omnicell access, etc.).
4.2 Ensuring Access
Ensuring the Appropriate Accesses requires an essential set-up of office functions, equipment and integration into the system network including:,; computer equipment;. Additionally, required accesses to the RA shared drive; the eResearch systems; EPIC, Badge Access to the 2nd floor, 3rd floor, the storage room, and specific departments
