STANDARD OPERATING PROCEDURE Research Administration SOP No: A003
SOP Title: Onboarding (New Employees and New Assignments)
1. PURPOSE
The purpose of the current standard operating procedure (SOP) is to define the initiative to ensure that each clinical research coordinator (CRC) and associate (CRA) in Research Administration (RA) is fully credentialed and onboarded for their role and assigned portfolio.
2. INTRODUCTION
In effort to effectively assimilate the new team member, it requires that the direct supervisor plan and execute their onboarding plan set out prior to their arrival. As part of an effort to establish the new team member, team leads, research educator, the director, and the administrative coordinator coordinate an onboarding plan approximately 1 to 2 weeks prior to the new employee’s start date to discuss the terms of their employment, to define their onboarding and training plan, as well as their accesses to the key functions of their job. Consistent with this process and practice, a similar onboarding plan is devised in support of a team member’s new assignments and deployment to new service lines (see SOP A005 Study Assignments).
3. SCOPE
The procedures defined in the current SOP apply to all staff in RA and their direct supervisors. Additionally, the educators and administrators play key roles in ensuring that the new employee has the proper accesses to carry-out their role and responsibilities.
4. RESPONSIBILITIES
The current SOP outlines the provision of opportunities for training of personnel engaged in human subjects research, including initial education and training opportunities to set a base-level of knowledge. Participation of all staff is highly encouraged to certify that this institutional responsibility is met.
For Patient Facing Staff:
The RA director, administrative coordinator, team leads, research educator, and preceptor(s), will collaborate to ensure the following responsibilities are achieved:
• Planning and Executing the onboarding plan, non-clinical Research Competencies (see training plan on RA SharePoint and shared Drive: T:\CCS_RESEARCH\2021 Onboarding)
• Schedule and assign computer-based training (CBT) non-clinical research modules and competencies via Learning Institute
• Schedule and assign didactic, non-clinical research modules and competencies
