SOP Title: Onboarding (New Employees and New Assignments)

4.2 Ensuring Access
Ensuring the Appropriate Accesses requires an essential set-up of office functions, equipment and integration into the system network including; computer equipment. Additionally, required accesses to the RA shared drive; the eResearch systems; EPIC, Badge Access to the 2nd floor, 3rd floor, the storage room, and specific departments related to their study assignments; and adding departmental appointments to the outlook calendar.
4.3 Onboarding and Competency Documentation (initial and ongoing)
Additionally, research credentialing and initial competencies will be assigned in Lawson (see Learn Lawson for standard guidance), a preceptor will be paired with the team member with respect to their clinical and research training needs, and the team lead will customize the didactic and clinical competencies as applicable in a customary fashion to support the current needs of the intended research portfolio (for referenced onboarding plans see attached and: T:\CCS_RESEARCH\2022 CRC and CRA Resource Folder\2022 Onboarding\2022 Onboarding Plans LI). The team leads, preceptors, and research educator will ensure that all competencies are acknowledged and validated in Lawson. Any hard copies of supporting documentation are filed in a locked file cabinet and scanned and stored on the secured, shared drive Human Resources (HR) File [N:\Team Leads\4_All Research Staff HR files] and filed with the HR File Room hrfileroom@childrens.com.
Ongoing competencies will be developed among the RA director, research educator, team leads, and potentially preceptors upon assessment of current trends in team performance and compliance observed in the preceding PEAC cycle. These ongoing competencies will be assigned in Lawson by the research educator and the process of planning corresponding retraining, on the job experience and observation, acknowledgement and validation of competencies documentation in Lawson and personnel files previously described will be fulfilled before December 3lst of the year assigned remains the same as the initial competencies check-off process.
5. SPECIFIC PROCEDURE
5.1 Onboarding Plan Development
A preparatory meeting is needed in order to adequately prepare the assimilation of the new team member:
1. Schedule a meeting in outlook with the director, team leads, and educator:
