PURPOSE & INTRODUCTION
The purpose of this standard operating procedure (SOP) is to outline the process for monthly research billing when funding is maintained at the Children’s Health Foundation.
SCOPE
Research Finance will bill the Foundation monthly for employee effort and/or research procedures related to studies where the funds are awarded through a CCRAC grant or other foundation accounts.
RESPONSIBILITIES & SPECIFIC PROCEDURE
This SOP applies to Children’s Health Finance group in Research Administration.
3.1. Create a back-up template (if needed) with the patient/study activity or the coordinator’s salary to be billed and save the document in V: Research Finance Team/Research Monthly Billing/_EPIC Monthly Summary Invoices/select month/study name
3.2. Each month, the financial analyst will log the billing information in the Foundation template saved in the shared drive V: Research Finance Team/Research Monthly Billing/Foundation Billing /select current year/select current month.
3.3. The Foundation spreadsheet includes the following information: Grant# (for CCRAC studies only), Physician name, Amount, Funding Source (the account were the funds will be expensed from), Fund Name, Study Name, Company#, Unit (AU cost center), Account (444000 for Foundation), Notes/Comments.
3.4. After logging the research activity for the month, save the data and e-mail the final spreadsheet to the Foundation Accounting staff for processing.
3.5. The financial analyst will track expenses each month to ensure that the billing amount does not exceed the awarded amount of the grant (if applicable).
3.5.1. If the study has been awarded a CCRAC grant, the financial analyst will log the invoice amount in the current CCRAC grant spreadsheet under the CCRAC# which is found in the shared drive V: Research Financial Team/CCRAC folder/MOST CURRENT CCRAC LIST
