Why is the session needed?
What are the desired outcomes?
Objective?
o What has happened in the past that necessitates this?
Is this meeting really necessary? If yes, make it so it is apparent to all Why not simply send an email instead of holding a meeting?
Why do they care about this topic?
o What amount of time will they commit?
Current events? What else do they have going on? Do your expectations align with the group’s?
􏰀 Details that have impact:
o Who’s in the meeting
Any personalities or interpersonal dynamics to be aware of
History?
Be certain in advance that your sponsor (client, representative) agrees with the purpose and is comfortable with the process.
PREPARE

Most Important Objective?
o Thoughtful and not simply by rote
o What are the key take-aways/objectives/walk out with?
􏰁 Does agenda get you there?
Always do one –- take the time be it a quick 30 seconds or a fully written and distributed.
Formal or Informal
Logical – flow, content and time allotment
o Timely – will it work within the prescribed time? Useful
How does it create engagement?
How does it create buy in? Social vs task oriented?
How does it increase the relationships of the group?
What is absolutely necessary? o What could be cut if necessary?
