Internal Communication Policy
Ideal Roadside uses a variety of collaboration tools to communicate with contractors. We rely on group messaging to put out pertinent information. However, text messaging may not always be the appropriate communication tool. If you want to speak to a specific individual, use the appropriate form of communication. The following rules will be applied to internal communications.
Encourage and respect the use of ‘Do Not Disturb’ status
Send chats only to relevant people
Use different communication channels for what they’re intended - Always try to
factor in urgency, sensitivity, and record-keeping when deciding how to deliver a message. For example, a face-to-face conversation or phone call is ideal in urgent or sensitive situations but typically does not leave a record for reference. Email is great for non-urgent announcements that may need to be referenced later, but not so much for sensitive or urgent situations. Finally, online chat and messaging is ideal for casual, ongoing collaboration and project-related discussion, but might be missed in an urgent situation or come across as cold when discussing sensitive matters.
Be friendly and polite
Be mindful of cultural context
Use the right chat tools to practice chat etiquette
Always have nuanced or hard conversations in person. Or, if that’s not possible,
do it via phone or video chat—that includes giving constructive feedback,
negotiating, and reviewing projects.
Conversations aren’t 100% private
Avoid sending messages or directly mentioning teammates in off-hours
