7 GOVERNANCE
To ensure proper management, governance and maintenance of LIS processes and services, the LIS has specific governing mechanisms in place to ensure effective management. The following sections discuss the specific projects and progress of governance matters achieved in 2023.
7.1 Risk and compliance
The LIS identifies risks that could affect strategic and operational performance and processes annually. Risks are prioritised and rated, and mitigation plans are developed and monitored throughout the year. The key risks assessed and managed through various mitigating actions during 2023 were the following:
• Compromised/poor service delivery to clients
• Long-term preservation of digital content
• Reputational damage to Unisa for all collections in failure to provide required services and access to
collections
• Failure to provide required services and access to archival collections
• Loss of services and content (digital and analogue)
• Loss of inventory or stock (Library resources)
Mitigating actions were taken to decrease the impact on and minimise the risk to LIS operations. The major outcome of the risk management process was the development of the LIS Disaster Management Plan, which will be implemented in 2024. Other mitigating actions are in process and will be carried over to 2024 for further implementation.
The LIS further participated in an inspection of compliance with the Protection of Personal Information Act (POPIA) and the Unisa Data Privacy Policy, which was conducted by the Unisa Directorate of Institutional Information. The inspection highlighted areas where the LIS achieved notable positive outcomes, as well as incidences of non-compliance. Immediate revisions and updates were made to ensure that the LIS is compliant with POPIA and the Unisa Data Privacy Policy.
