Start of Term Checklist for House Staff
1. CPOMS. Please add relevant information about pupils that may have been sent to you during the holidays.
2. Fire alarm practices. You must carry out one day time and one night time fire practice during the first week. Night time =
between 11.30pm and 7am. Day time = 7am to 11.30pm.
3. Passports must be collected and kept by House Staff. There must be a book for signing them in and out.
4. Medications and allergies must be collected. Inform the Medical Centre of any new medical information and make sure that medical records are updated. Inform catering of allergies.
5. Mobile phone numbers. Any changes should be recorded.
6. Room plans. Label wardrobes and beds, boot room and linen room. Do not allow swaps unless they are authorised by the
HouseM. Pupils in different year groups cannot share a room.
Additional September Checklist:
7. CPOMS. Background information about a new pupil should be added under the Welfare Information category. (This replaces the old welfare files that were completed by HouseMs.) This is generally used for background information about a pupil that is provided when a pupil joins the school e.g. family history, information from previous schools etc.
8. Buddy system. Please make sure that each new pupil has been allocated at least two buddies. Please allocate time for weekly buddy meetings during the first term.
9. Fire procedures. Make sure that all pupils are shown fire exits and fire assembly points before their first night in the House.
10. How to contact House staff. Make sure that all pupils are shown how to contact House staff during the
night before their first night in the House.
11. Photo report of pupils via ISAMS. Print and display.
12. Display photographs of all House staff, including tutors and Domestic Bursary staff.
13. Email parents on the first evening and again before the end of the first week. Include news and photos.
14. Mobile phone numbers for pupils must be recorded. Collect mobile numbers for new pupils and check numbers for current pupils.
15. Dietary requirements and allergies for pupils should be recorded and communicated to Catering.
16. Pupil helpers. Assign pupil helpers (e.g. Head of House Team, Peer Mentors) to assist with particular year groups.
17. Pupil birthday list. Prepare cards, cakes etc.
18. Dorm expectations on noticeboards in dorms
19. Tech sign in sheet
20. Notice boards – replace old notices.
Other things to prepare for the first day:
• White board with details for the first days.
• Signage for new pupils and parents.
• Catering requisition for tea and cakes for new parents.
• Hot chocolate, biscuits and ice breaker games for new pupils.
• Label duvets and pillows for new pupils.
