What is the threshold for adding incidents to CPOMS?
• Is this information that might form an important part of a pupil’s pastoral or safeguarding history?
• Is this information that other colleagues should be aware of?
• Is this information you might to refer to in the future?
• Don’t include trivial or routine events e.g. uptown chits.
• Discipline records (e.g. tardies, detentions etc.) will still be maintained on iSAMS. However, CPOMS can be used to record the conversations and actions surrounding the incident.
What are the alerts?
• Alerted people will receive an email notification, prompting them to check CPOMS.
• Be aware that people who are not alerted can still read it (if they have permission to access that pupil).
Top tips:
• Don’t add too much to the actions. Start a new incident.
• You can copy and paste emails (if you forward an email, the date/time will appear at the top)
• Don’t express opinions. Please just include objective facts/concerns.
• Adopt an appropriate threshold i.e. don’t add day-to-day information.
• Be careful what you write as it may be seen my external agencies in the future. Please also be aware that members of staff are parents and may see what you have written. The DSL + HouseM category is useful for sensitive information.
• Please change the date and time so that it appears in the correct chronology
• If you are not sure about which category to use, please don’t worry too much as entries can be edited afterwards. Please contact Penny Bijl (DSL) for guidance.

Record-keeping
• Pupil files must be kept for six years after the pupil has left the College.
• Any documentation that might be relevant to the Independent Inquiry into Historic Child Sexual Abuse must be kept forever.
