 CPOMS – Pastoral and Safeguarding record-keeping
 How do I access CPOMS?

What does CPOMS do?
• It is for recording the pastoral/safeguarding ‘story’ of a pupil.
• It records the incident, process and action.
• It doesn’t replace conversations or phone calls.
• It should be a servant, not a master!
• We are adopting a gradual roll-out: Pastoral Team & HouseMs, Deputies, House Assistants, Tutors, Teaching Staff
• We are still learning; all feedback very welcome!
Guidelines for categories
• Behaviour>Room Search. Please use this to record all room searches. (Room searches must be recorded).
• DSL Team + HouseM. To be used for incidents where DSL Team and HouseM (but not other House staff) should be informed.
• DSL Team Access Only. Only the DSL Team will be able to view these incidents.
• E-safety. The E-Safety Officer will be alerted to all e-safety incidents.
• Mental Health. Please only use this category for officially diagnosed mental health issues (these will usually be issues that are being referred to other professionals e.g. counsellors, GP, psychotherapists etc.)
• Pastoral issue. This is a very useful ‘catch-all’ category. If unsure, please use this category.
• Victim. Please use this category if the pupil has been a victim of an incident e.g of a bullying incident. However, please be aware that if you add “victim” to a pupil incident and then link to other students, they all end up with victim status, including the perpetrator. In this case, please add information under separate incidents for each pupil.
• Welfare information. This replace the old welfare files that were completed by HouseMs. This is generally used for background information about a pupil that is provided when a pupil joins the school e.g. family history, information for previous schools etc. This is generally completed by HouseMs in September.
What are the advantages of using CPOMS?
• A chronological pastoral and safeguarding record can be created for a pupil. This is extremely useful internally and also when incidents have to be passed onto outside authorities e.g. police, social services.
• Emails and other information can be stored securely and for longer than 12 months.
• GDPR compliant and not part of subject access data requests.
• Powerful reporting functions allow reports to be generated quickly e.g. safeguarding reports for ISI and Council.
• We don’t need paper welfare plans.
