Financial Reporting
We have developed a transparent and clear format for financial reporting. Our commitment accounting process allows us to create bespoke ‘live’ reports to include recommendations and actions taken. These can include bank reconciliation, creditors, debtors, cash held, voids, financial tendering, purchase orders, reserve funds, ancillary income and expenditure.
Customer Portal and Data Protection
Mainstay utilises Qube, a secure web-based property management software program. This dedicated easy-to-use customer portal is accessible through our website and allows customers to view their service charge account balance and payment history, and enables communication preferences and personal detail updates. It is not administered by any third-party agency and online payments can be made with total confidence.
Within the program, a noticeboard section communicates news, information and management team details, as well as scheduled site visits, maintenance tasks, and work in progress.
Financial accounts, budgets and insurance documents
are also available. Qube also supports property management by holding and updating landlord and tenancy details, facilities management, contractors, and ledger and cashbook information.
Mainstay has additionally developed a bespoke, site survey package for managers to carry out mobile scheduled site inspections to track and report on all management, compliance and remedial activity.

at all times and comply with the most recent General Data Protection Regulation (GDPR). All staff are trained in data protection and our technology is fitted with state-of-the-art security that automatically alerts our IT team to any potential threat. Privacy notices are given to customers stating what information we record and why, how we use it and how long we keep it for. Our data is housed in the UK and we operate a full Disaster Recovery system which can be quickly activated in the event of a major failure.
