Salaries will be reviewed annually and as deemed appropriate by management.
Pay Day
All full-time and part-time staff employees are paid bi-weekly. The pay period begins on Sunday and
ends on Saturday. APUS has 26 pay periods each year. Each paycheck will include earnings for all work
performed through the end of the current payroll period. Employees can expect their paycheck every
other Friday of the pay period.
In the event that a regularly scheduled payday falls on a holiday, employees will receive pay on the last
day of work before the regularly scheduled payday. Employees can access their pay stubs and W2’s
through the UltiPro Portal using the following link: https://e31.ultipro.com. Employees who wish to
forgo receiving hard copies of their earnings statements and W2’s, must log into their UltiPro account
and click the “Myself” tab, then “Things I Can Do” to change pay statement preferences.
If time cards are not submitted and approved by the deadline, or are submitted with incorrect hours, the
employee’s pay check may not be received or it may be delayed. Any incorrect direct deposits or
incorrect time reporting will be fixed during the following pay period following the inaccuracy. Any
employee opting out of direct deposit will have a check mailed to their home.
Shift Differential
A shift differential provides additional compensation to full-time nonexempt employees who are
regularly scheduled to work “non-standard shifts”. APUS defines these shifts as those that begin at noon
or later and shifts for both Saturday and Sunday. Shift differential is only paid for the actual shift hours
worked. Employees scheduled Monday to Friday, 12:30-9:00pm and Saturday to Wednesday, 9:30am-
6:00pm, will be paid a differential. If an employee changes or is removed from a differential shift, the
appropriate differential will be changed or removed.
When an employee has an evening or weekend schedule, their leave (sick and vacation) will be paid at
the hourly differential rate. For information on holiday pay and shift differential pay, please refer to the
Holiday Policy.
Time Records
APUS expects all employees to fulfill their schedule as agreed upon by the employee and the manager.
This requirement is accomplished through an honor system in which employees record their own time.
In order to provide a record of hours worked, and properly prepare paychecks, non-exempt employees
are required to submit their time bi-weekly utilizing the Time Management module of the UltiPro portal
by close of business the last day of the pay period. Employees must accurately report all hours
worked, and are not permitted to submit time records for another employee, or to falsify time
records in any way. If employees falsify their time records, they may be subject to disciplinary
action, up to and including separation of employment. Managers are required to approve and
submit employees’ time through the UltiPro system a week prior to payday.

Inclement Weather
Manassas and Charles Town Office Employees: The decision to close the offices due to weather
conditions will be made by senior management and communicated via email and on the weather line by
