process your personal information, the purposes for that processing and the legal basis upon which
we rely in order to process that information are set out below;
We process your personal data for the following purposes:
1. to make a decision about your recruitment or appointment, to determine the terms upon
which you work for us, to pay you, providing any benefits to you; to liaise with your pension
provider and to administer the contract we have entered into with you.
Where we process your information for the purposes set out in paragraph 1 we rely on the
lawful processing ground that the processing is necessary for the performance of a contract
to which the data subject (i.e. you) are a party.
2. to deduct tax and other social insurance contributions, to comply with health and safety
obligations, to comply with employment law obligations.
Where we process your information for the purposes set out in paragraph 2, this processing
is necessary for us to comply with our legal obligations.
3. Business management and planning including accounting and auditing, conducting
performance reviews, management performance and determining performance
requirements, gathering evidence about a possible grievance or disciplinary hearing,
education training and development requirements, to prevent fraud, to monitor your use of
our information and communication systems, to ensure compliance with our IT policies
Where we process your information for the purposes set out in paragraph 3 that processing
is necessary for the purposes of our legitimate business interests pursued by us except where
those interests are overridden by your interests or fundamental rights and freedoms. The
legitimate business interest upon which we rely is the effective operation and management of
our organisation and managing the performance of our employees.
The purposes for which we will use your special categories of personal data will be as follows;
1. we will use information relating to leave of absences which may include sickness, absence or
family related leave, to comply with employment and other laws
2. we will use information about your physical or mental health, or disability status to ensure
your health and safety in the workplace and to access your fitness to work, to provide
appropriate workplace adjustments, to monitor and manage sickness, absence and to
administer benefits.
3. We may use trade union membership information to comply with employment law
obligations.
The above processing is necessary for the purposes of carrying out our obligations and exercising
specific rights of you in the field of employment, social security and social protection.
Your Information and Third Parties
We may have to share your data with third parties, including third party service providers. Third
parties include third parties service providers (including contractors and designated agents, who
carry out pension administration, benefits provision and administration, IT services, accounting and
business management services).
All of our third-party service providers are required to take appropriate security measures to protect
your personal information in line with our policies. We do not allow our third-party service providers
