All receipts should be tallied at the end of each month. Monthly totals are
accumulated to give a record of receipts for the year to date.

In some cases, quarterly reports may be required. When this happens, it is more
efficient to calculate cumulative figures month by month for each quarter rather
than doing it for the entire year.

Receipt entries in the cash book may look like this:

Date Details Cheque Amount Income type Banked
                      01/07/06 B Black 0000345 $250.00 Membership 02/07/06
                                                                             $250.00 $250.00

                  Keeping things simple
The treasurer should make sure that the club/federation’s financial affairs are kept
as simple as possible. The treasurer should be able to:
                  • give members and elected office bearers the information they need, when they
                    need it
                  • give the committee correct financial information to enable decisions to be made
                    on behalf of members
                  • report the effects of decisions on the financial progress of the club/federation
                  • satisfy members, through the auditor’s report, that their funds have been
                    managed honestly and effectively.

                           Activity 4.3

Can your club/federation do the things just listed?

                           Activity 4.4

Why is it unwise to use money without it first being banked?
