a. Any member who is also a member of the Reserve or Guard and who is on active
duty at any time during the fiscal year for which the dues are due; or
b. Any member of the military who is deployed to a combat zone at any time during
the fiscal year for which the dues are due.
Further, the LSBA shall request that the Supreme Court waive members’ MCLE
obligations in the above circumstances.
Members shall be required to send copies of their Orders to be entitled to such waivers.

P. Records Retention and Destruction
It is the policy of the LSBA to retain records as required by law and to destroy them
when appropriate.
The records retention policy of the LSBA is as follows:
accounting ledgers - 7 years
bank reconciliations - 7 years
canceled checks - 7 years
charts of accounts - 7 years
contracts - 7 years, if provided a copy upon request for payment
CPA audited financial statements - permanently
employee personnel records - permanently
expense reimbursements - 7 years
insurance policies - minimum of 7 years
inventory records - minimum of 7 years
invoice records - 7 years
legal correspondence – 7 years
minutes of meetings of governing bodies - permanently
payroll records - 7 years
petty cash records - 7 years
payment records - 7 years
tax records - 7 years
retirement program - minimum of 7 years
equipment maintenance records - 7 years
The method for records destruction shall be at the discretion of the Director of Finance
and Membership, in consultation with the Executive Director.
Q. Release of Member Information
It is the policy of the LSBA to respect members’ privacy by restricting release of
confidential information contained in the Association’s database and/or archives.
