ROI+ SERVICE BULLETIN 12-20-2016 Revised Request Completion Date
PROBLEM:
Some clients export data from ROI+ into a spreadsheet to create activity reports and run analyses. These clients indicated the need for a new column in the exported spreadsheets to help them calculate the turn-around time for request fulfillments more accurately. They were using the “Invoice/Complete Date” column for their calculations, but they found that their calculations were being impacted negatively (in other words, turn-arounds looked longer than they really were) because the date in the “Invoice/Complete Date” column would change/update in the system whenever certain actions were performed by a user.
DETAILS:
Clients were using the date in the “Invoice/Complete Date” column to calculate turn-around time. However, whenever one of the following three actions was performed on a request, the “Invoice/ Complete Date” date was updated: 1) when a Fulfillment Notification was re-sent to the Requestor, 2) when a change was made to a completed request and the user clicked the “Complete” button again, or 3) when an Invoice was updated after a request had been completed. Although accurate, this update prevented clients from having a reliable date for calculating a true Start-to-Finish turn- around time.
NEW SOLUTION:
1. The “Invoice/Complete Date” column has been removed from the Results list and exports.
2. A “Completion Date” column has been added to the Results list and exports. 3. The “Invoice Date” column remains in the Payment Tab.
What this means for you:
“Completion Date” - This column will always show the date on which the request was originally completed (in other words, when the “Complete” button was first clicked). This date will never change, regardless of actions taken on the request. Therefore, a true fulfillment turn-around time can be calculated. To calculate a request’s Start-to-Finish turn-around time, subtract the “Request Date” value from the “Completion Date” value.
“Invoice Date” - Likewise, the date in this field will never change after the initial request completion.
Any changes to the original completed request fulfillment, including the invoice, will still be tracked in the Audit Tab and can be viewed via the audit tables.
