ROI+ SERVICE BULLETIN 08-07-2017 Changes to Optional Reference Field
PROBLEM:
The Optional Reference field, which could be filled in on the “Log New Request” screen while entering or editing a request, has allowed ROI+ users to add key pieces of identifying information that they felt were critical to a specific request, such as an insurance claim number or other third-party reference numbers. This optional information was then viewable from the Results List (main ROI Requests screen). However, users could not edit this field “on the fly” directly from the Results List; instead, they had to return to the “Log New Request” screen to edit or correct it. Additional issues are (a) that the label “Optional Reference” has been considered to be confusing to many users, and (b) that the comment needs to be short enough to remain fully visible at a glance on the Results Screen.
DETAILS:
The field and column name “Optional Reference” has been changed to “Comment” to be less confusing and more accurate.
In the Comment column of the Results List, there is now an “Edit Comment” icon on the left side of the comment area for each request. When clicked, this icon enables the existing Comment to be edited (or for a Comment to be added if one was not entered at the time the request was logged). Please note that unlike the “Sticky Notes” field, there is no User or Date/Time stamp on a Comment. Comments are not trackable by user or time and do NOT save previous input.
A Comment that is too long to be viewed “in full” from the Results Screen defeats the purpose of an easy-to-see Comment field. To ensure that a Comment is completely and easily visible, the length of input in the Comment field has been restricted to 50 characters. The separate “Sticky Notes” feature (denoted by a pen while blank and a yellow sticky note once written on) will continue to allow the input of multiple, lengthier remarks about a request. The Comment field was never designed for detailed notes, but only as a quick glance for key identifying bits of information about the request.
NEW SOLUTION:
1. The name “Optional Reference” has been changed to “Comment” to be simpler and more accurate. 2. Users can now edit a Comment without having to re-enter the “Log New Request” screen.
3. To make sure they are fully visible on the Results List, Comments are limited to 50 characters.
4. The Comment field remains searchable, and optional, for users.
