Motor Claims Procedures
9.2.1 Complete notification process through the Hollard Procurement Pages website. https://procurement.hollard.co.za/Hollard_PP/Login.aspx within 2 (two) days after first notification of loss.
9.2.1.1 should sufficient information not be available to submit the notification, contact the Stolen Vehicle Recovery Department (SVR) on 011 351-1441 or email HollardInsureStolenVehicle@hollard.co.za for guidance.
9.2.2 The SVR Department needs the information to update Unicode and the claims system with your claim information.
9.2.3 The SVR Department uses Unicode to update the Police Circulation System with Hollard’s interest to the vehicle on their circulation system.
9.2.4 The SVR Department will supply the claims consultant with a Unicode confirmation to validate the claim. (Date of loss, police case number, complainant information, etc.)
9.2.5 Unicode will inform Hollard when a vehicle is recovered by the police and their property system is updated with the recovery.
9.2.6 When the claim is a total loss and the vehicle is not recovered, the original deregistration must be sent to Hollard.
9.2.6.1 The SVR Department also assists with requests of settlement documentation and original de/registration certificates from the finance houses.

Paid up vehicles:
Once liability has been accepted please send the original deregistration certificate and key (if available) to the SVR Department.
• Deregistration Certificate: When the claim is a total loss (stolen/ hijacked) and the vehicle was NOT recovered, the original deregistration including supporting documentation (NCO Part A completed and signed) must be sent to the SVR Department. The vehicle should be deregistered as stolen and not as scrapped.
Financed vehicles:
The SVR Department will assist with the requests below from the finance house:
• Settlement documentation: Copy of registration certificate and settlement letter. Provide the finance house name and account number to the SVR Department via email and settlement documentation will be requested on your behalf.
• Original De/Registration Certificate: Once the finance house has been settled. Provide signed agreement of loss and proof of payment made to the finance house to the SVR Department via email and the original De/Registration Certificate will be requested on your behalf.
9.2.7 Hollard dealer stock all stolen/hijacked, not recovered vehicles in Hollard’s name. Hollard’s interest is then recorded on the police system and Natis as the legal owner. (Part of SAIA code for salvage and Road Traffic Act).

9.3 Maintenance of a Stolen Vehicle Register: each broker should maintain a separate register for stolen/
hijacked vehicles.
