CHAPTER 7: WELLNESS TIME OFF
Providing reasonable amounts of paid wellness time off represents an important Post investment in its associates’ quality of life. Post recognizes the importance of work life balance and having income continuation peace of mind during vacation, health recovery, non-work emergencies or other personal situations. Eligibility for paid time off is determined
by employment status (Exempt or Non-Exempt), the number of hours the associate is regularly scheduled to work, and length of employment.
PAID TIME OFF (PTO)
The University provides paid time off (PTO) hours to its regular full-time and part-time associates who are regularly scheduled to work 20 or more hours per week. PTO may be used for vacation, inclement weather (please refer to the Emergency Closing Policy), religious holidays or other personal time off needs. PTO is not available for use within the first 90 days of employment. In the event that an eligible associate is ill or caring for an ill family member, benefits may also be available under the Paid Sick Leave Policy, Family and Medical Leave Policy and/or the Short-Term and Long-Term Disability Insurance programs.

PTO Calculation
Associate Experience Department assigns PTO accruals to new associates in the payroll system based on their role’s pay status as either Exempt or Non-Exempt, number of hours regularly scheduled, and seniority. Associates who are employed in temporary assignments or per diem (as needed) roles such as Associate Faculty are not eligible for PTO.
Accruals are based on the PTO Calculation Tables included in the detailed policy. The PTO time accrual rate will
be adjusted at the beginning of the year in which the anniversary occurs. PTO time does not accrue while
an associate is on any unpaid leave of absence.
PTO time is calculated on a calendar year basis, from January through December and prorated based on hire date. Forexample,ifanassociatewashiredonJuly1,
the associate would accrue one-half the total annual allotment through December. PTO is available to use beginning with the eligible associate’s first day of employment subject to management approval. However, as a business necessary exception, associates may
not use PTO during the initial new hire training period to ensure new hire’s role mastery is not jeopardized
or delayed. Unless approved otherwise, non-exempt associates must take PTO in a minimum of two hour increments in most cases. PTO is paid at the associate’s base rate of pay and does not count towards the calculation of overtime.
PTO Usage and Scheduling
When an eligible associate wants to use earned, available PTO for any planned time off reason (e.g. vacation), the associate must notify the respective supervisor with at least a minimum of two weeks’ notice as a general rule. The supervisor will determine approval of the request primarily based on business needs, including the staffing coverage required to avoid disruption to student services, enrollments, other extenuating circumstances or business considerations. As a general practice, faculty associates should schedule extended PTO time off during academic calendar breaks. Associates’ flexibility and cooperation to help Post University maintain efficient services to students is always appreciated.
Requests for PTO must be submitted through ADP Workforce Now and the associate’s supervisor must be notified in advance in most cases.
When there’s a need to use unscheduled PTO for unplanned emergency situations, eligible associates must notify their supervisor as soon as possible. The notice provided should include a reason for the absence and an indication of when the associate can be expected to return to work. If the associate is absent for multiple days, the associate will be expected to call in daily unless alternative arrangements have been made with the respective supervisor.
In the unfortunate event an illness or injury occurs while an eligible associate is on PTO, he or she may request that available paid sick time be substituted for such
days off, provided medical documentation is submitted in the form of a note from a health care provider, signed by the treating physician. When a holiday occurs during scheduled PTO leave, an eligible associate will be paid holiday time instead of PTO leave for that day. An eligible associate is required to utilize accrued PTO time while on a leave of absence for which other paid time off benefits do not apply.
PTO Carryover
Up to 40 hours of unused accrued hours of PTO time may be carried over from one calendar year to the following calendar year. Such rollover hours must be taken before June 30th or the PTO rollover will expire. Any hours in excess of 40 will automatically expire at the end of each calendar year.
