4. SYSTEM IMPROVEMENTS
1. Record Management:As part of record management the following activities have beentaken up:
i.Arranging the files and ledgers etc. section wise and issue wise separately in all the
designatedcompactors available in office as per 5S standards stipulated by the division.
2) Technological Initiatives :
i) Website maintenance and updation: Website - SCR railway – SC Division – Accounts –is the Divisional
Accounts website and the transactions have been updated till Sep’22. All thetransactions have been
contantly updated to maintain the transperancy in the transactions viz,salary bills, contractors bills etc
and its open for public view.
ii) Updation of Manuals: Each SSO of the concerned section has to visit the Railway Boardwebsite
daily, constantly updating, downloading and reviewing the latest policy guidelines soas to apply in
the day to day work while dealing with the various proposals. Each section has a designated policy

file which is being updated on day to day basis.
iii) Updation of guidelines/circulars/manuals wherever found necessary: Online works status
programme has been developed by Sr.DFM/SC to chase the works pending with various officers and
sections. The programme gives detailed information like date of receipt of the proposal, clearance
date, department wise breakup, cost, allocation of the proposal. A whattsapp group has been
created for the SC accounts and latest and important letters are being shared by the officers and
staff for information and implementation in the day today dealing proposal.
iv) Scanning of old records and maintaining an e-data base (eg: Pension & amp; SRs) as a pilot
initiative all old SRs and pension files have been scanned and a data base is maintained for the same.
It will be continued for other important aspects like PF ledgers etc.
3. Passing/Status of online bills in iMMS: To maintain the transparency, all Purchase Order bills are
being passed in iMMS and the bills status i.e. bill returned/passed can be viewed by the firms and
Higher Authorities.
