  A MESSAGE FROM THE ROADRUNNER CAR CLUB PRESIDENT
Working together to maintain a harmonious club!
The Club will be 3 years old soon and we should all be proud of what we have created, the Club has grown quickly and is very social, inclusive, and harmonious.
From the outset it was our goal to create such a Club and the survey of members early in the year, confirmed we are heading in the right direction and there is a high level of satisfaction with the operation of the Club. This is evidenced by the high percentage of active members attending our events.
The information gained from the survey provides the Management Committee with clear guidance on the expectations of members and the information received and suggestions will be taken into consideration in future decision making.
As with any Club, the Management Committee is guided by the members, and we hope that by working together, we can continue to provide a harmonious environment where everyone is happy.
We do encourage any member who has a complaint to direct these to the Management Committee in the first instance, so the complaint can be dealt with in a timely manner and a resolution can be sought.
We have procedures to deal with Complaints, Disciplinary matters, and Dispute resolution, which can be found in the Members Only area of the Club website. These are to be used in conjunction with the rules in the Constitution.
At all times, please remember it is important to mix with other members and to make new members feel welcome. To ensure this happens, I would encourage all members to think about where they are sitting at our events and to make a conscious effort to sit with and meet different people, and particularly to include new members to make them feel welcome.
COMPLAINTS PROCEDURE (updated 01.07.2021)
To ensure all complaints are dealt with promptly and a satisfactory resolution is achieved, we have developed a formal ‘complaints procedure’ that should be followed. These procedures are to be used in conjunction with the Rules in the Constitution.
COMPLAINTS:
1 Every club member should be aware of the Club’s complaints procedure and who to complain to.
2 Complaints in writing should be directed to the Secretary, however a list of the Management Committee members who can be approached at any time by anyone with any concern, is listed on the contact page of the Club website. 3 Anonymous complaints are not encouraged.
4 The complainant is advised that when he/she makes a complaint that the complaint should be put in writing to the Club Secretary, and if about a person, that a copy of the complaint will be given to the party being complained about.
5 If the complaint is in relation to the operation of the Club or a decision made by the Management Committee, a member of the Management Committee will meet with the complainant to discuss the complaint to seek a resolution.
6 If the complaint is about a person, the party about whom the complaint is made will be given a copy of the complaint and asked for their response in writing within a specific time and told that their response will be given to the complainant.
7 Both parties will be asked if they wish to have a Hearing and if they wish to attend in person or be represented by anyone. If a Hearing is called for, a date and time for the Hearing should be fixed.
8 The person or persons to hear the complaint will be notified to the parties.
9 If no Hearing is required, then the matter can be decided based on the written submissions.
10 If a Hearing is required, then it should be held. The decision made and the outcome communicated to the parties as soon as possible, preferably in writing.
11 A record of the decision will be kept by the club.
12 There is an appeal mechanism in the Club constitution that provides members with their right to appeal any adverse decision.
