The purpose of this Standard Operating Procedure (SOP) is to outline the procedures to be followed when conducting a telephone or email encounter/visit with a study subject.
2. INTRODUCTION
Children’s Health Clinical Practice Policy 3.01, Content of the Medical Record has defined the minimum content of a medical record to include all communication with the patient regarding care, treatment and services, for example telephone calls or email. Some protocols require communication outside of Children’s Medical Center, for example telephone calls or emails.
3. SCOPE
This SOP applies to all clinical research staff on the study team that conduct clinical research at Children’s Medical Center at Dallas. The study team as defined in Children’s Health Clinical Practice Policy 7.12, Responsibilities of the Research Team will ensure adherence to this SOP.
4. RESPONSIBILITIES
4.1 Documentation of Communication
All members of the study team will document communication with the patient regarding care, treatment, and services in the medical record. In EPIC, select “Patient Station” and type your patient’s MRN into the Name/MRN box.
