SOP Title: Annual Research Conference Planning
1. PURPOSE
The purpose of this Standard Operating Procedure (SOP) is to describe the standard procedures to be followed for planning and managing the Annual Research Conference (hereafter referred to as Annual Conference).
2. INTRODUCTION
Annual Conference is a multi-institutional conference supported by Children’s Health, the University of Texas Southwestern (UTSW), Parkland Memorial Hospital (Parkland), and Texas Scottish Rite Hospital for Children’s (TSRH). The Clinical Research Educator (CRE) of Children’s Health Research Administration (RA) coordinate the conference with the planning committee. Annual conference provides a forum to educate research professionals. Continuing Medical Education (CME) and Continuing Nursing Education (CNE) credits are sought for appropriate talks.
3. SCOPE
This SOP applies to all activities to plan and manage the Annual Conference.
This SOP does not apply to any additional educational activities planned or coordinated by the designated Children’s Health CREs
4. RESPONSIBILITIES
Research Administration Leadership
To work with the CRE as members of the Annual Conference planning committee. Annual Research Conference committee together with the research educator will work collaboratively to plan, organize, and manage the Annual Conference.
5. SPECIFIC PROCEDURE
5.1 Scope Research Week Planning Process
A. Planning and Preparations
• The planning committee will meet as needed.
• The planning committee will assess future plans of the conference (e.g., timing, length, location, growth); identify potential speakers; identify unique general conference objectives to support CME/CNE applications.
• The CRE will post publicly registration for participants to register for Annual Conference to track metrics accurately.
• The CRE will ensure appropriate room and catering accommodations have been secured for the event as per the policy and procedures for the hosting institution. If hosted internally, please see Administrative Policy 1.16 “Conference and Meeting Space Scheduling and Support Services” for policy and procedures
• The CRE will complete applications for CME and CNE credit
