PURPOSE & INTRODUCTION
The purpose of this standard operating procedure (SOP) is to outline the process of activating a new study in Children’s Health’s electronic medical record, Epic. (Epic is a system in which research related charges generate patients registered as research trials thru Velos within a CHST system.
SCOPE
Research Finance will activate a Research Account in Epic to transfer all research related charges from patient accounts while charges are being reviewed in RBR to prevent patient receiving a bill. Account will be created at the time the SOA has been fully executed.
RESPONSIBILITIES & SPECIFIC PROCEDURE
This SOP applies to Children’s Health Finance group in Research Administration.
3.1 In Epic, type “Research Study Maintenance” in the search bar.
3.2 Enter the STU number in the search bar, select study, then select Accept. Note: If unable to locate the STU, the Financial Analyst will contact the study coordinator to ensure this study status in Velos has been set to “Active Enrolling for CMC”.
