General-Purpose Technologies Useful for Digital Repositories

                  Image Title          Title             First sentence of caption provided by photographer or OSU Archives staff.
                  Alternative Title    Title-Alternative  Used like a 740 or a 246 in MARC, this gives the cataloger the ability to provide
                                                         alternate access points to a title. Use AACR2 guidelines to add when appropriate. Will
                                                         display in CONTENTdm only when data is present.
                  Photographer/Studio  Creator           Includes the photographer or photography studio when known.
                  Date                 Date              Format should be [YYYY-MM-DD] so for items with just years, the format will be: 1910–
                                                         00–00. Circa information should be added to the Time Period field.
                  Time Period          Coverage-Temporal  Selected from a control vocabulary, the Time Period will be used to represent the
                                                         decade a particular image is from.
                  Date Search          NONE              This field will be used when constructing Date searches. This field will primarily be used
                                                         to handle ca. dates, by including 2 years before and after the ca. date. This is a hidden
                                                         field.
                  Description/Notes    Description       Includes complete caption information if not already contained in the Image Title field;
                                                         and any additional interpretive information.
                  Subject              Subject           Use LC TGM I: subject terms; available within CONTENTdm and on Cataloger’s Desktop.
                                                         LCSH will be used when an appropriate heading is not available in LC TGM.
                  Geographic Subject or   Coverage-Spatial  Geographic region—LC Authority File. Oregon entries, for the time being, will be entered
                  Location Depicted                      as (Ore.)
                                                         Example: Benton County (Ore.)
                  Object Type          Type              Genre—use LC TGM II. There will be several genre types for this project.
                  Original Collection  Source            Name of collection from which the image originated.
                                                         Example: Agriculture Photograph Collection (P 40).
                  Item Number          Identifier        Number of the image within its original collection.
                  Other forms          Type              Form of image other than what was scanned—
                                                         print (if neg. scanned), enlarged print, copy negative. Use LC TGM II terms.
                  Restrictions         Rights            “Permission to use must be obtained from the OSU Archives.”
                  Transmission Data    Format            Provides brief information regarding the creation of the digital image. For most of
                                                         the images in this project, the text should read: “Master scanned with Epson 1640XL
                                                         scanner at 600 or 800 dpi. Image manipulated with Adobe Photoshop ver. 7.0.”
                  File Name            Identifier        File names will be constructed using a 10-digit identifier constructed using the Project
                                                         and image numbers.

                 The data dictionary then defines for both the user and the submitter the
                 necessary metadata fields, as well as the data that should be present. In the
                 case of this sample collection, one can see that a number of Dublin Core
                 elements have been repeated, but each element has a specific meaning within
                 the data dictionary. Moreover, utilizing this data dictionary, a DTD can be
                 created to give programmers within the library the ability to easily interpret
                 the metadata from this collection.
