5.0 Facilities, Tools & Equipment
Wherever possible, Group Companies should ensure that there is adequate facilities to ensure a full and
comprehensive pre-use check can be undertaken, this must include but is not limited to:
Adequate lighting or provision of torches for drivers / engineers
Adequate hard standing
A safe working environment with as little vehicle movements as possible and adequate space between
parked vehicles.
Where possible, and available Group Companies should provide those who are responsible for pre-use
checks with adequate tool and equipment, for example tyre tread depth indicators and torches.
6.0 Defects Identified in Service
Group Companies must ensure that there is a policy for recording and reporting defects that occur in
service. This policy must include a robust processes for the reporting of these defects and the criteria for
the decisions made regarding roadworthiness. This criteria must be in line with local legislative
requirements and company policy. Note that vehicles must be removed from service if they are not
compliant to local legal requirements or defined company policy.
7.0 Post Use Checks
Group Companies must ensure they give consideration to a process of post use checks, at the end of the
last journey, to ensure that there are no obvious defects present on the vehicle after use. This may be
completed as part of other post use checks for lost property and customers for example.
8.0 Vehicle Pre-use Check Monitoring
Each Group Company must ensure there is a process of reporting and monitoring the vehicle pre-use
check process.
This monitoring should include a robust process for auditing to ensure that the vehicle pre-use check policy
is being correctly and consistently adhered to. This will include:
Defects are being reported by those responsible in line with the set criteria
The correct documentation or system is being completed fully and correctly.
Defects are being reviewed, by the correct personnel, prior to vehicles being released for service.
Documentation is being signed off before the vehicle is released for service
Rectification work is to the required standard
Defect management is in line with policy in terms of rectification, deferral and signing off as
serviceable.
