know when is the next available appointment.
When to Huddle?
The care team should huddle at a consistent time every day
depending on the needs of the practice. Keep the huddle under
six minutes, and follow a routine agenda. Typically, the huddle
takes place before the start of the day to review that day’s
schedule or at the end of the day to plan for the next day’s
schedule.
Where to Huddle?
Choose a central location and ask that everyone remain
standing to increase effectiveness, emphasize the goal of a rapid
review, and plan for the day.
Taking a few minutes to review the schedule for special care
needs and situations, staffing concerns, work-in slots, etc. will
set the stage for the huddle preparation and execution.
It takes very little time to prepare for each patient, verifying
the equipment and supplies are available, and ensuring test
results and follow-up notes are in the record before the patient
arrives. Time spent preparing for each patient’s visit will cut
down on wasted time and frustration from both your staff and
your patients. Keep in mind that preparing for the patient also
includes anticipating serial testing, refills, and referrals; all of
which can be create major roadblocks in a busy office caught
unprepared for the visit.
