SVMIC Risk Reduction Series: Effective Systems

Other benefits of a huddle include increasing efficiency leading

to a more manageable schedule. It also provides an opportunity
for the team to work on long-term projects such as completing

the self-assessment included as a resource in this course.
The team can decide to take an entire section or just a few

questions; discuss, develop an action plan, and assign tasks
until the assessment is completed, and any risk exposures are

                 identified and corrected.

                 The Basics of the Huddle

Establishing the practice of team huddles can be accomplished
in three quick steps: review, prepare, and execute.

                 .

                 Who Should Attend?

The members of the care team including the physician,
assistant, and scheduler should attend. Experiment with the mix

of staff. Your practice may require a couple of brief huddles, such
as between receptionist and nurse followed by physician and

                 nurse.

                 What is the Goal?
The goal of the huddle is to provide an “at-a-glance” overview

of the day in order to troubleshoot the patients on the schedule

already. Evaluate your systems, anticipate workflow and
equipment needs, and make adjustments to avert bottlenecks.
Be aware of who is sick or upset, who has special needs, and

who needs specific equipment or a special room. Make sure all

laboratory, imaging, and consultant reports are in the record. Let
