46feedback from an empathic place, stepping into the other person's shoes, appreciating his or her experience, and helping to move that person into a learning mode,\%u00b7 Build on employees%u2019 strengths when giving negative feedback. By beginning with the strengths, you involve the prefrontal cortex right away. If you begin with negativity, the information may never reach the frontal lobe; it may get stuck in the primitive emotional areas and put the employee in survival mode. Always give suggestions for improvement.Positive feedback is much easier to deliver than negative feedback because it%u2019s likely to be wellreceived regardless of how it%u2019s structured, but there are certain things to avoid when delivering negative feedback:%u00b7 Avoid sounding accusatory. Using %u201cyou%u201d structures instead of %u201cI/ we%u201d structures tends to imply that the employee should feel guilty. Instead of %u201cYou turned in your reports late this week,%u201d try %u201cI noticed this week that your reports were late.%u201d It%u2019s a subtle difference, but it prevents the employee from feeling attacked, so they%u2019re less likely to become offended or defensive.%u00b7 Avoid using the phrase %u201cneed to.%u201d This makes it seem as if something has gone seriously wrong and the employee is to blame.%u00b7 Don%u2019t be vague. For example, don%u2019t just say, %u201cI%u2019ve noticed you seem to have poor attitude lately.%u201d Instead, clarify your statement with speci%uf001c examples, as this clari%uf001es for the employee exactly what you consider to be indicative of a %u201cpoor attitude.%u201d This helps both of you to avoid a similar discussion in the future.Feedback is a two-way street.%u00a0Ask for feedback from your employees on your own performance and on company policies. If effective feedback is designed into a performance management program, individual and team performance will improve, which will make the organization more effective. With effective feedback processes, employees won't be walking blind and, hopefully, will reach their destinations successfully.Reference has been taken from various journals on the subject.
