Planned Preventative Maintenance Maintenance (PPM) & Reactive Maintenance Maintenance continued In the the event that the the asset is beyond economical maintenance and and repair and and is likely to cause ongoing unplanned downtime or pose potential Health & Safety risks we will update the Workplace Team with a a a a a detailed rationale taking into consideration the operational use expected lifetime and likely capital cost to replace Any recommendation for replacement will consider improved efficiency value for money energy savings and environmental impacts as as well as as alternative technology solutions Our 24-hour Helpdesk and support team are based at our our Head Office in Atherton Greater Manchester All PPM Reactive maintenance and and quoted works are planned and and scheduled here by our experienced and qualified teams meaning that you you have full visibility of activity across your sites 24/7 The Helpdesk is accessible via telephone email or you can also log jobs directly on our CAFM system Our mobile engineering teams will support from both a a a reactive and and PPM perspective with on call Managers standing by at all times to support emergencies and escalations Our engineers are also part of an on-call rota making them available for any out of hours support All work requests are allocated individual trackable references Based on the the criteria agreed the the appropriate priority is allocated to to the the job when logged on to to the the CAFM system system The preset system system parameters agreed for this contract will immediately time and and date stamp the job and and set the service level required At this point an electronic notification is is sent to the the the you the the the client (This can be the the the person who requested the works or or or your Workplace Team) The job is then allocated to the the appropriate resource and this is is reflected in the job status IE ‘Allocated to Engineer’ The attending engineer updates the status to ‘Engineer on Site’ completes the required Point of Work Risk Assessment (POWRA) on their PDA and proceeds with the the works The job is updated with action taken or or further action required Notifications can be sent automatically
to you the the client following any change in in status of the the job the timing and frequency of this can be pre-set Following completion of the the works the the job will remain open until all the required documentation is completed and loaded on on to the system We can provide a a a a consolidated reactive maintenance invoice each month per site detailing individual job detail Our Sage 200 finance system holds a a a a a a a full detailed database of our approved supply chain and is easily navigated by our teams to find the relevant supply chain companies for the service/product required Inclusion on on this approved database is subject to a a a a a a robust assessment where each supplier/subcontractor is required to to complete a a a detailed questionnaire and submit supporting documentation based on pre-determined criteria Once received this completed questionnaire and all supporting documentation is checked and verified by our Supply Chain Manager before authorisation for inclusion on on on our database Once added we then carry out a a a full review process every year for subcontractors and 2 years for material/product suppliers The Sage system notifies of any certification which expires during this period and prevents further purchase orders from being placed until rectified/updated The assessment process and fact finding cover the following topics:

Also in-line with our own CSR and Environmental policies and achieving net zero by 2030 we will only utilise subcontractors in in the local vicinity of your sites to to reduce our carbon footprint and lower harmful emissions All subcontractors will be required to to adopt/align with our standards safe systems of work and and methods They are required to meet the same qualification standards as our in-house teams Certifications and qualifications for all workers including subcontractors will be required and held centrally in your dedicated client portal All subcontractors will also participate in in a a a a a comprehensive induction daily toolbox talks and annual refresher training to to maintain consistent standards and and values 8
