Travel for Boarding Pupils and i-gtm
The College has strict regulations imposed on
it by the UK Home Office and the UK Visas and Immigrations Service (UKVI). We are subject
to inspection by UKVI at any time, announced or unannounced. Inspectors focus on the College’s records of pupil travel arrangements for school holidays, Half Terms and Leave Outs. There are regulatory information requirements for all boarders, regardless of nationality or place of residence outside term time. That is why we insist on the use of i-gtm and strongly encourage travel with GTMatrix.
i-gtm is web-based bespoke software designed capture all the information needed for safeguarding and UKVI compliance purposes. i-gtm is linked to iSAMS and My Malvern, and you can log in to i-gtm using your either your My Malvern, Google or Microsoft credentials. The system will capture anything from a
simple notification that you will be collecting your child(ren) by car to complex multi-stage journeys that may include walking, taxi travel, coaches, trains, international flights, etc. All boarders will need entries for each holiday
(one for the beginning and one for the end) regardless of whether they are using school coaches, taxis or other GT Matrix organised transport. The system links to iSAMS and to train, taxi and flight databases. The system will email you reminders when it is time to supply travel and whereabouts details but you can
also book well ahead. Parents, guardians, authorised College staff and even the pupil can all enter travel details but parents will always receive an email detailing exactly what has been booked with a link which you will need to follow to authorise the entry. A member of House staff will also look at the entry and authorise it once they are happy with the arrangements. Each main travel day is listed clearly by the system but there is also the facility to enter details for a “non-travel day” in exceptional circumstances such as a delayed return due to a hospital appointment. There is a box at the bottom of the listed dates (on the i-gtm webpage) which is labelled ‘Any Date Not Shown Above’ and this gives you the option to select any date and link it to the main travel day.
