LATE PARENT PROCEDURES
When a child(ren) is not picked up from your site on time, the following steps are taken:
• Two Staff will stay with the child(ren)
• Call the Recreation office at 286-9336 to report the child(ren)s name and names of the Staff staying.
• Call the phone numbers on your roster to contact a parent
• DO NOT TRANSPORT A CHILD IN YOUR CAR
• Fill out the ‘Late Pick Up Notice’ (see sample in late parent binder)
• Fill out the parent letter (see sample on next page)
When the parent arrives, the following steps are taken:
• Give the parent the completed parent letter, plus the white copy of the ‘Late Pick Up Notice’. occurrence is a warning only.
The first
• Call the Recreation office to report the time of pick up
• Record the information on the ‘Late Parent Pick Up Sheet’
• Keep the pink copy of the ‘Late Pick Up Notice’ in your folder, in alphabetical order by the parent’s last name
• Bring the yellow copy to the Recreation office by 4:30 pm
2nd & 3rd Occurrences are handled as follows:
• The Recreation office is called
• Check your ‘Late Parent Pick Up Sheet’ to determine if it is the 2nd or 3rd occurrence, then fill in the ‘Late Pick
Up Notice’ accordingly
• Fill out a parent letter
• Enter the information on the ‘Late Parent Pick Up Sheet’
• Pink copy is filed and kept in your folder; yellow copy is brought to the Recreation office by 4:30 pm
When the parent arrives:
• Give the parent the white copy of the ‘Late Parent Pick Up’ notice and a copy of the parent letter; fees must be paid at main Department Recreation Office or the Steiner Community Building Office, before the child(ren) can re-enter the program
• Call the office to report the pick-up time and give any additional information
If a late fee is incurred, the parent must show proof of payment before the child is allowed to re-enter the program (see sample copy in late pick up folder). A list of weekly balances will be provided with your roster.
If a child is dismissed from the program due to a 4th occurrence, a notice is issued and the Recreation office must be notified so that the participants can be cancelled from the roster.
After the first monetary fee paid for a late lunch violation, the amount paid can be counted towards the payment for a Lunch Pass. This must be done prior to re-entering the program.
NOTE: This also applies to children being dropped off before the program begins, or being left unsupervised during lunch hour.
