Tournament Administration

It is essential as professionals to administer each tournament, regardless of number of
participants, in a professional manner from start to finish. Organization and attention to detail are
vital in running a successful tournament program. The professional staff’s involvement and
enthusiasm at each individual event makes for a more enjoyable experience for the players.
A tournament program should begin by setting up the tournament schedule in the early fall of the
prior year. It is necessary to meet with all groups at the club including Men, Senior, Women 18
Holers, Women 9 Holers, Mixed events, Junior Golf, Interclub, and State or Section events that
we may be hosting during the year. The purpose of the meetings is to meet the needs of each
group with as little interruption to regular play.
During winter months, the professional staff creates all the necessary rules sheets, signup sheets
and tournament promotional sheets required for the upcoming year. A tournament calendar and
description sheets are created and made available to the general membership in early spring. At
this time, we also order all the trophies and favors for the upcoming season’s events. Early
preparation allows for significantly more time for the professional staff during the season to
interact with the membership. It also helps eliminate mistakes, and alleviates unnecessary
pressure on the staff.
For each event promotional items are posted in the locker rooms and pro shop. Additionally a list
of upcoming monthly events will be announced in the newsletter. We also send out mass emails
to inform the membership about upcoming events. On the scheduled day we will post signup
sheets in a designated area. Deadlines are set for as close to the event as possible. We will always
do our best to accommodate last minute sign ups to the best of our ability without disrupting the
event.
Once we have reached the deadline, the staff will pull the signup sheet and set up the event
according to the format. All necessary printing in completed, including starter sheets, cart signs,
rules sheets, scoreboards and scorecards. On the day of the event, there is always a professional
on the tee with a tournament box that includes pencils, scorecards, tees, divot tools, ball markers
and permanent markers for golf ball identification. This is a great opportunity for the
professional staff to establish relationships with the membership by explaining the format of the
events.
A professional is always at the scoreboard to receive the scorecards and check for signatures and
totals on the cards. Any necessary ruling would also be made by the professional at this time.
The scores are then posted at the conclusion of play and a result sheet is prepared.
