TO: Heart of a Hero Committee Members

Here’s a first draft of the package to be mailed out to potential sponsors. It includes a cover
letter, a description of the sponsorship levels, and a sign-up sheet. If we want to include the
“Save the Date” card, that can be added to package.

Questions/Comments that I have about each page:

Cover Letter to Potential Sponsors: Probably these letters should be printed on a LB
Kiwanis letterhead, since that’s the name that the potential sponsors will recognize.
Other pages will have a Heart of a Hero letterhead.

Description of Sponsorship Levels: We need to finalize the sponsorship amounts based
on $125 a person cost. Is there still going to be a Table Supporter category (a table
supporter sounds like something you buy at Home Depot along with a chair stabilizer)?

Sign-Up Sheet: This is a very prelim draft. Need description (ideally, a short one) of how
sponsors can pay via PayPal.

In addition, we’ll need two sets of printed envelopes:

1) for mailing the sponsorship letters. These envelopes will have the Kiwanis P. O. Box
return address. Since there are not that many potential sponsors, I can probably
enter the recipient’s names and addresses and print these envelopes one at a time
on my home printer. That will look more professional than affixing address labels to
the envelopes (which we will need to do when we mail a large number of invitations
in July or early August);

2) return envelopes addressed to the Kiwanis P.O. Box on Spring Street. The return
envelopes are for organizations that prefer to write a check and mail it to us.

We might be able to save money by printing enough of these envelopes so that we can use
them when invitations are mailed out in late July/early August.
