USE OF INTERNET, INTRANET, E-MAIL AND RELATED TECHNOLOGY
Policy: To ensure the use of Internet, Intranet, E-Mail and related technology systems is consistent with Ben E. Keith
Company’s business interests.
1.0 Responsibility:
1.1 All employees with access to technological communication and information systems are accountable to use the
systems in an efficient, ethical, business-related and lawful manner. Employees are to report any misuse of
technological systems to management.
1.2 All managers are accountable to communicate and monitor the proper use of technological communication and
information systems and to halt any misuse of systems under their supervision.
2.0 Procedure:
2.1 Ben E. Keith Company designates specific workstations and job positions to access technological communication and
information systems for business-related purposes. Wrongful use of this technology will lead to suspension of access
to the systems and/or corrective action up to and including discharge.
2.2 Computers connected to company networks and used for Internet access must have the approved anti-virus software
installed and must be configured to update the virus signature files automatically.
2.3 Employees must have written approval from management before downloading any external software, files or other
information to company networks or computers. Any information stored in company networks or computers will be
used consistent with applicable licenses or copyrights.
2.4 Ben E. Keith Company has ownership of software, files and other information downloaded or stored in company
networks or computers and maintenance or dissolution of such is at the discretion of the company.
2.5 Employees must have written approval from management before uploading to external systems any software owned
by or licensed to Ben E. Keith Company.
2.6 Ben E. Keith Company provides E-Mail availability solely for the purpose of conducting company business. Employees
are to have no expectation of privacy of any messages sent, received or stored on E-Mail. Ben E. Keith Company has
the right of access to all E-Mail with the right to review, copy or delete, or store as deemed appropriate by
management. Any personal messages sent, as incidental use of E-Mail will be treated no differently.
2.7 Employees using technological communication and information systems have the on-going responsibility to maintain
the confidentiality of sensitive and/or proprietary information.
2.8 Employees using technological communication and information systems are to identify themselves honestly,
accurately, and completely. Any use of technology communication and information which is defamatory, obscene,
discriminatory, sexually explicit, threatening, offensive, harassing, or that discloses personal information unauthorized
is contrary to purpose and intent and is subject to suspension of access to the systems and/or corrective action up to
and including discharge.
2.9 Employees accessing the Internet through the company network are not to engage in any activity or transmit any
communication that would reflect unfavorably on the Company or be deemed inappropriate by the Company.
2.10 Employees will not place Ben E. Keith material or information of any kind on any publicly accessible Internet computer
without the prior written permission of the Vice President for Legal Affairs.
2.11 Ben E. Keith Company reserves the right to inspect all computer systems within the company. Employees are advised
that the company retains the right to access any information or material the employees receive, send or place on the
Internet or Intranet at any time for any reason at any time, with or without notice to employees.
2.12 Expense of personal use of cellular telephones, as is the use of all other telephone access assigned to
Ben E. Keith Company, is the responsibility of the employee unless approved as a business expense by his/her
supervisor.
2.13 Cellular telephones and pagers provided to employees to conduct business of Ben E. Keith Company are to be
returned immediately upon supervisor request and/or termination of employment.
