Because Erbe allows personal use of email, employees are prohibited from using the Erbe email system for personal use. Because of the potential for spam or harmful viruses, employees should under no circumstances use the Erbe email address to sign up or register for any website, service or other personal use.
All communications must be professional and legal. This includes the use of PCDs while driving.
Employees who are supplied with company-owned communication devices understand these devices are, at all times, the property of Erbe. Further, these devices must be immediately returned upon termination of employment in a condition which will allow Erbe full and complete access to all data, files, and other property which has, at any time, been owned by or within the control of Erbe. Employees are required to provide any unique passwords required to access the devices upon separation of employment.
7-4. Privacy Policy
Employees will have access to proprietary, confidential, and/or information that is not readily available to the public. Employees must keep this information in confidence and share the information only with those who are authorized and have a business reason to receive such information. Employees are prohibited from making any unauthorized disclosures of private, confidential or trade secret information consistent with applicable law and Erbe policies.
7-5. Ownership of Data
At all times, any files stored on company systems and portable electronic devices, such as mobile phones or tablets, are the property of Erbe USA, Inc. Because of its proprietary nature, all Erbe business material (including but not limited to: mobile phone number, email mailboxes, text messages to an Erbe business mobile phone number, instant messages, electronic files, customer lists/information, sales contacts, sales quotes, company reports, training materials/videos, etc.) must be stored on the Erbe computer and network system.
Unauthorized deletion of company data is a violation of the law in most states and will be prosecuted to the fullest extent possible.
7-6. Laptop & Mobile Device Security
Laptop computers and other mobile devices present special security issues because of their portability and the information they contain. Devices must be password protected at all times. Great care should be exercised in transporting such devices to ensure the protection of Erbe assets and data. Their loss or theft must be reported immediately to the employee’s manager and the information technology department to mitigate potential damage to the company.
Employees are prohibited from allowing non-Erbe personnel, family members or friends from accessing Erbe computers, its network or any other device that contains company information.
Employees may not use their personal computers or laptops for company business, nor may they use their personal email addresses for the same.
