COACHES ASSOCIATION PROCEDURES
(formerly found within ARTICLE XVII)
Mission
The mission of the NJCAA Coaches Associations (CA) is to support and enhance the experiences and opportunities
for NJCAA student-athletes and coaches.
Membership
A. Any member college paying dues to a specific sport CA shall have their head coach and staff as a member of
the NJCAA Coaches Association for that specific sport. Additional information is below:
a. If the coaching staff members change colleges during the term of the membership the NJCAA CA
membership will remain with the college and not follow the coach to the new position.
b. If an individual pays the CA membership fee and this individual coach changes colleges during the
term of the membership, the CA membership will follow the coach to the new college (this must be
coordinated by the NJCAA National Office liaison);
B. For voting purposes each dues paying college is entitled to one vote per college;
C. Annual association dues amounts are requested by the president of the individual CA, then approved by the
sport committee chair and brought forward to the Board of Regents for final approval;
D. The NJCAA CA who have dual membership with their national organizations will be responsible for processes
and procedures for the national organization, along with the NJCAA CA.
Duties and Responsibilities
A. Coaches Association members are responsible for the following:
a. Representing the coaches of the NJCAA in that specific sport;
b. Working to support and promote the student-athletes of that specific sport;
c. Serving as a voice to the sport committee (although voting privileges are not permitted);
d. Working in accordance to NJCAA policies and procedures.
B. President:
a. Provide leadership and oversee all association meetings;
b. Manage and adhere to all processes and procedures in accordance with the NJCAA CA policies;
c. Work directly with the NJCAA National Office liaison for all CA needs such as Hall of Fame, CA
Awards, CA Elections, CA budget and CA membership;
d. Work within the association to update the specific CA sport bylaws on an annual basis to be included
in the NJCAA Handbook;
e. Work within the association to develop the plan for governance (i.e. develop and elect the leadership
roles that best suits the specific sport CA) and include this outline in the specific sport CA bylaws
Processes
A. Elections

a. Nominations for CA officers should take place no later than June 30 to begin the following fiscal
year, August 1 ;

b. Collection and distribution of the nominations will be coordinated by the NJCAA National Office
liaison;
c. Each CA will coordinate the elections as outlined in the specific sports CA bylaws;
d. Each CA will develop the officer positions based on the specific sports needs;
e. Length of officer terms are set by the specific sport CA.
B. Coaches Associations Hall of Fame Inductions
a. HOF nominations process will be as followed:
i. The NJCAA National Office, working together with the Coaches Associations, will accept
nominations for the respective CA Hall of Fame’s, at any time during the year but must be
received no later than 90 days prior to the specific awards presentation.
ii. The National Office will assist the specific sport CA with collecting, compiling and distributing
this information to the CA President for review upon receipt of the nominees;
iii. Voting will be coordinated by the CA President in accordance with the specific sport CA
Bylaws and due back to the National Office no later than 45 days prior to the awards
ceremony.
