Time and Attendance Tracking
wanted as I believed it’s what had them returning year after year. I relied on them and needed them. With Time and Attendance software, you can template your schedules and simply repost out so the employees can view them on their phone. They can swap shifts in real time with someone from their phone (approval necessary, obviously) and now make it to that concert without the stresses and headaches of the past. Your employees want this and it’s a great way to retain staff.
“Having the full burden of employee time sheets and payroll off my plate frees me to concentrate on actually running my business. For years, I wished I could delegate this process, but I always thought that my business of 5 to 25 employees, depending on the time of year, was too small for this type of service and if it was available that it would be too expensive. Finding an affordable service, with excellent support, and the knowledge that it is done right, has been a gift of time and peace of mind,” said Lesley McMahon, General Manager of Balmoral Golf Course in Red Deer, Alberta.
There are other fantastic features of this software that can help both employers and employees. Remember Kyle (the backshop employee James referenced)? Well, what if Kyle received a reminder text one hour
before his scheduled shift...maybe that would help the ‘new’ generation get to work on time. I bet Kyle would be happy with this feature, and perhaps he could even keep his job! Messaging features on Time and Attendance software allows managers to keep in constant contact with employees with special functions, descriptions (what to wear and so on), etc.
3) BIOMETRICS TECHNOLOGY
Biometrics is automation of tracking in and out times to help save your business money. The industry average for the ROI of installing any type of biometric clock is approximately 2 months.
Several studies, including one by the American Payroll Association, have found that ‘buddy punching’ can cost you an additional 2-5% on top of your “actual” payroll expenses. Take a quick moment and put that number in your calculator – please do not say it out loud, just think about the savings to your bottom line. My experience with this tool is what led me out of the golf business and into the payroll business. My printer stamped time cards unfortunately allowed for buddy punching.
We have to trust our employees with so many things and the majority of the people I have ever met hit it straight down the middle, however some don’t. Technology
exists to help your great employees and the not so great ones. Your staff knows who abuses the system and they want it to be fair for all.
“Even though my account rep told me to expect some savings with my payroll expenses, I was shocked at the amount that we saw in our first two weeks. We reduced our payroll expenses by $750/ week in the first two weeks without reducing scheduled hours. The system is setup with rules and processes in place that allow our management team to stay on top of everything daily, resulting in these cost savings. Do not underestimate the amount of money you are losing daily/weekly/annually when you are using archaic employee tracking systems, such as paper punch clocks and paper time sheets,” said Mark DeActis, General Manager of South Muskoka Golf Club in Bracebridge, Ontario.
With automated technology you can forecast your labour costs and try different patterns to see what the cost will be. Biometric technology should be a serious consideration for any facility looking to decrease labour costs.
4) HEALTH AND SAFETY COMPLIANCE
I had a policy and procedure manual created and was ready to be on top of my HR practices. We even had the employees sign off on them. We organized the WHMIS training and had a CPR course booked. I had my filing folders all arranged - the filing cabinet organized. Then the real world hit and all of that was on the back burner.
My employee had a burn from the fryer, and thankfully she fully recovered, but what came next was real: the Labour Board audit. I had to expose my filing of everything. What a total mess! There are tools
