Removal of old users
Removing old users is not just about security; it’s also about compliance
and efficiency. Many industries have regulations that require businesses
to manage user access meticulously. Failure to remove outdated accounts
can lead to unauthorised access, potentially resulting in data breaches or
compliance violations. By ensuring that only active users can access the portal,
organisations can mitigate risks and maintain a secure working environment.
Again – the PSUK portal gives you the ability to remove users via the Account
Dashboard. Click on the ‘Manage User’ button to see a list of users that have
access to your portal and Deactivate those that no longer require access.
Monitoring Statements and Invoices
Another critical aspect of user management is monitoring orders within the
portal. Regularly reviewing statements and invoices for unusual purchases
helps to identify potential fraud or misuse of medicines. Fortunately, such
instances are rare, but unusual patterns, such as large or unexpected purchases,
totes arriving that staff claim to have not ordered or unusually high monthly
statements can be red flags indicating unauthorised activities. By proactively
checking these anomalies, customers/wholesalers can act swiftly to investigate
and resolve any irregularities, protecting financial loss and misuse of medicines.
Contacting Account Managers for password resets
Password management is another crucial component of user security. As users
forget passwords or leave the business, it’s essential to have a process in place
for resetting passwords and removing users on internal and external systems.
When it comes to MyPin or the PSUK Portal, contacting your account manager
is the best practice in this regard, ensuring that password resets are handled
securely and only by authorised employees. This practice not only enhances
security but also helps maintain the integrity of user accounts.
It also goes without saying that not leaving user names and passwords on
display in the dispensary also improves the security of your ordering portals and
information.
In summary, the importance of checking users on a shared portal cannot be
overstated. Regular audits, removal of old users, monitoring of statements and
invoices, and proper password management are essential practices that help
maintain security, ensure compliance, and protect any unauthorised access.
By prioritising these practices, businesses can foster a secure and efficient
environment for ordering and information sharing, ultimately leading to greater
operational success.
