Policy: The release of financial, statistical or other information that may be of a
confidential nature to the Company will be controlled and every request will
be referred to the Chief Financial Officer or Controller.
Purpose: To provide a means for the control of information to banks, investors,
investment houses, media, credit bureaus, or other agencies and
organizations.
Scope: Any requests by an outsider to an employee regarding financial, sales,
marketing or product information on the company.
Procedure:
1.0 WRITTEN REQUESTS FOR CONFIDENTIAL/FINANCIAL
INFORMATION
Typical requests are for additional information concerning details of the published
financial statements, litigation progress, insurance coverage, names of investors,
etc.
If the request is by letter or other written correspondence (e.g., request form,
memo), it shall be forwarded to the Chief Financial Officer (CFO), who will
decide what information may be released and who will be authorized to reply.
The CFO should consider consulting the Company's legal representative for
guidance or clarification.
2.0 TELEPHONE/PERSONAL REQUESTS
If a request for information is made by telephone or by a personal visit to our
offices, refer the requester to the Company's CFO. If the CFO is unavailable:
• Direct the requester to provide their name, company, address, telephone
number, and other contact info (e.g., e-mail address).
• Ask them to provide the reason for the request and a brief description of the
information desired.
• Forward the above information to the CFO for follow-up.
